The Records & documentation track is the SureTrace curriculum leg dedicated to what the field team hands off when an engagement closes. Four lessons covering the four pieces of a defensible closeout package — ASCE 38 utility quality levels, field sketch standards, photo and video documentation practices, and deliverable formats for the contractor-actionable and municipal-records editions — plus a four-exam practice program built to the same shape as the NULCA prep track.

Why the track exists

Closeout depth, not just closeout vocabulary

A locator can finish a multi-day engagement with a clean field sketch and an untyped report — and the project team cannot act on either. The track exists to teach the depth behind the closeout: what ships under ASCE 38, what ships on the field sketch, what ships in the media archive, and what shape the deliverable takes for the reader who consumes it.

A document graded to the standard, not to the field's recollection

Foundations 05 introduces the field-sketch convention and the ASCE 38 quality-level assignment as a vocabulary, but the entry-level module does not push closeout authoring depth. This track rebuilds the same vocabulary against ASCE 38's four canonical cases — potholed, multi-method, records + one method, records-only — and the audit artefacts each case has to ship.

Defensibility under claim, not just at handover

Foundations 05 stops at "every line carries a level"; this track pushes the closeout package through the defensibility audit — every bounded negative annotated with the method that bounded it, every method-stack annotation reproducible, every timestamp aligned to the equipment log, every calibration log referenced next to the method stack.

One dataset, two reader shapes

A contractor and a municipality reading the same closeout package do not need the same artefact. The contractor reads action-first; the municipality reads records-first. This track teaches the twin-pair deliverable: same dataset, two shapes, bounded by a segment-ID namespace the two tiers share.

How it differs

Three dimensions the records & documentation track extends from the surrounding curriculum

The track reaches into three other curriculum legs — the Foundations 05 entry-level documentation vocabulary, the Advanced Module 03 advanced lens, and the NULCA practice program — and pushes the depth on what ships at closeout.

Entry-level vocabulary to closeout-depth authorship

Foundations 05 introduces what a field sketch is, what an ASCE 38 level means, and what a findings map looks like. The records-documentation track rebuilds the same vocabulary against the canonical cases the standard expects — potholed (A), multi-method (B), records + one method (C), records-only (D) — and walks the closeout package through the defensibility audit each case has to ship.

Records & documentation as a track, not a single advanced lesson

The advanced Module 03 lesson covers the records vocabulary at depth inside the Advanced track. This track pulls the four pieces of the closeout package out of the advanced lens and gives each one its own lesson — ASCE 38 levels, field-sketch standards, photo and video documentation, deliverable formats — so a learner can audit a specific part of the closeout package without re-reading the Advanced track.

Graded, not narrated

Each lesson ships with a four-question reveal-on-click knowledge check that names a specific closeout mistake and the corrective move. The four practice exams are graded multiple-choice with instant feedback and a tier score; the four lessons and the four exams follow the same enumerative shape as the NULCA practice program so a learner finishing one module lands on the next.

Photograph and video clip conventions that make the archive queryable — in-frame identifiers, static bookends on a video clip, the five-field photo log, still-frame captures alongside each clip, and project-archive persistence.

Twin-pair deliverable shaping by reader — the contractor-actionable tier vs. the municipal-records tier, the segment-ID namespace contract across tiers, the PDF archival default, and the per-PDF signature-block distinction.

Four practice exams, one per lesson

A practice assessment ships with each lesson so a learner can take a graded multiple-choice run before moving to the next module. The shape mirrors the existing NULCA practice program hub on /training/nulca/practice.
